Getting Started in a Meeting Room...
Thank you for using one of our WinShape Meeting Rooms. Below we have some quick instructions and basic information to get your meetings going.
You can find more in-depth Articles Here about some of the other capabilities that can be used in our Meeting Rooms.
To Get Started please ensure that the room that you are in has a screen that looks similar to this:
*If your screen does not look like this, please check out These Articles to help you use the Kramer "VIA" Software to operate the meeting room.
Logitech/Microsoft Teams Meeting Rooms
These Meeting Rooms are equipped with everything you need to host your Virtual, Hybrid, and In-Person Meetings. The main way that these rooms accomplish that is through Microsoft Teams.
If you are looking for the quickest way to answer the question "I am trying to do ________", then here it is:
The Short Answer: Start a Teams Call No Matter What You are Doing!
Virtual Calls: Press the "Join" button or start a new call from the Meeting Controller.
Screen Sharing: Start a Teams call from the Meeting Controller, then join
from your laptop and share your screen through MS Teams.
No matter what you are trying to do, you will need to start a Teams call. It will serve as your platform for your Virtual and Hybrid Meetings, or act as your virtual platform to be able to share your screen for an In-Person meeting.
There is also a wired option available in most rooms to provide connections to the TV and camera.
Let's now get into the main functions of this Meeting Room: Virtual Meetings and Sharing your Screen.
Virtual Meetings
This Room is Equipped to Support both Microsoft Teams and Zoom Meetings. When creating your meeting for this room, you need to include your Teams or Zoom Link in your meeting request.
For Teams meetings, you can either forward the Meeting Room an existing Calendar Invite or include the Meeting Room as a location when creating a New Meeting. Be sure that this is turned on when creating the Meeting invite.
Once you arrive, be on the look out for this device:
Either on the Table or on the Wall you should find this device. This is your Meeting Room Controller.
If you have invited the Meeting Room correctly, then you should see a nice big "Join" button. You can press that button or you can join a Teams call by its Meeting ID and Passcode.
You can always start up a new call by hitting the "Meet Now" button, and can then Invite Team Members into your meeting.
Screen Sharing
To share your screen for your Virtual Meeting or your In-Person meeting, you will still want to begin through Microsoft Teams.
Follow the instructions above to either start a new meeting or join the existing meeting that is available on the Meeting Controller.
Then, join the Teams call from your laptop and share your screen through the MS Teams meeting.
In the top right-hand corner of your Teams call you should see this button. Select Share content in your meeting controls. Then, choose to present your entire screen, a window, or a file.
Bring your Own Device (BYOD)
The final option that you have in these Logitech-equipped rooms is the ability to host everything from your laptop through the provided HDMI and USB-provided plug-ins.
You can find these cables attached to the camera in the room, and depending on how things are configured, you should find an adaptor for you to plug into your computer.
So, if you would rather host your meeting from your laptop, you can still utilize all of the equipment provided in the Meeting Room from the comfort of your Laptop.
If you have any issues with the Meeting Rooms please Submit a Ticket Here and someone
